POSITION PURPOSE AND OBJECTIVES: The Imaging Specialist II will be expected to perform all loan imaging/filing duties, meeting time line goals and volume response as it develops with more responsibility in the distribution of work among department, a stronger concentration on quality and quantity control and reporting of department functions and projects to management. In addition, this position is also responsible for monitoring the flow within department, monitoring of problems, and assistance with implementation of new projects, creation of new enhancements to both imaging and release side. ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:
•Maintain department records for management of volume and control of volume. Demonstrate knowledge of work flow patterns for information received from other departments. Verify information received for accuracy; escalate any errors to supervisor. Escalate any trends of errors to supervisor. Monitor all aspects of paid storage. Verify reports from other departments. Complete all steps of storage, including boxing, manifest and documentation preparation using correct nomenclature. Verify physical files were imaged by assigning task to team; confirm task performed by team. Distribute tasks to and verify completion by team. Provide guidance and answers to peers. Escalate peer performance issues to Supervisor. Maintaining assigned individual imaging filing duties at current status. Assist the Supervisor with ensuring all tasks are being completed and that allotted time frames are met for departmental work. Verify releases, volume, required guide lines being met, etc. in accordance with appropriate state legal standards. Provide banking centers and associates with file request and information on all consumer, commercial and mortgage matters excluding collections. Escalate all Collection requests to Supervisor. Scan, Index and check loan files and miscellaneous documentation once imaged. Provide management with reports on volume, problems, hardware, etc. Make recommendations to Supervisor on errors/omissions with and process improvements needed for internal procedures. MINIMUM QUALIFICATIONS: Minimum 2 years of experience in an imaging environment, preferably within a financial institution required OR 1 year of current Republic Bank institutional and electronic systems knowledge required. Knowledge of legal and banking terms and regulations preferred. Demonstrated proficiency in Microsoft Office programs. Advanced knowledge of: pdf docs, importing electronic data, splicing of pdf docs and tiff docs required. INTERPERSONAL SKILLS AND COMPETENCIES REQUIRED: Excellent verbal and written communications skills for effective handling of clients’ request. Must be self-motivated and also work in a team environment. Requires a high energy level and strong sense of urgency. Strong attention to detail & excellent organizational skills. Good Reading and Math Skills. Ability to work with large volumes of work and meet time critical deadlines.
